What will you do?
As an Order Handling Administrator, you ensure that orders are processed smoothly, correctly, and on time, from order to delivery. You work according to our ISO-certified processes, which are a crucial part of our quality standards, and you serve as an important link between customers, suppliers, Inside Sales, External Sales, and the warehouse. You report weekly to the Order Handling Manager.
- You enter sales orders, follow up on order administration, and communicate with existing and new customers via email and telephone, including active outbound calling.
- You enter purchase orders, follow up on deliveries with suppliers, and apply pressure where necessary.
- You process assembly orders (AOs) and align purchase orders with sales orders. You discuss ambiguities or non-conformities in quotes with Inside Sales; you escalate problems to the Order Handling Manager when necessary.
- You provide administrative support before and after the sale and consistently provide customers and colleagues with timely and correct information regarding their order or delivery.
- You register complaints and non-conformities and follow them up until they are resolved.
- You provide administrative support for inventory management, in consultation with the Order Handling Manager, and assist with stocktaking.
- Together with warehouse colleagues, you follow up on cross-zone movements, returns, and repairs, and you are co-responsible for their smooth and efficient execution.
- You manage the centralized mailboxes, process incoming emails as quickly as possible, and ensure that all data is correctly entered into the ERP system.
- You contribute ideas to optimize logistical and internal processes and share your knowledge with new colleagues.
Who are you?
- You have several years of experience in an administrative role.
- You have a very good knowledge of Dutch, French, and English, both spoken and written.
- You have an interest in the industrial sector and technical products.
- You work fluently with IT tools and have experience with an ERP package; experience with Business Central is an advantage.
- You work accurately, with a perfectionist mindset.
- You work in an organized manner, know how to set priorities, and ensure strict follow-up of your files.
- You have strong communication skills, both verbal and written, and possess commercial skills: telephone customer contact, including active calling, suits you well.
- You are customer-oriented, both internally and externally, and enjoy keeping customers and colleagues proactively informed.
- You are stress-resistant and flexible: higher workloads during peak moments give you energy.
- You are assertive, enjoy taking initiative, and feel committed to your work.
- You are a team player who enjoys contributing to a pleasant working atmosphere.
What do we offer you?
- A full-time position with a permanent contract.
- A family-like working atmosphere in a stable, people-oriented company.
- Room to take initiative and add your own personal touch.
- Training opportunities and space for personal development.
- Flexible working hours and the possibility to work from home one day per week, for a good work-life balance.
- Attractive employment conditions with fringe benefits: smartphone, 11 RDOs (ADV days), group and hospitalization insurance, meal and eco-vouchers, bonus, and a flexible benefit plan.
